Reservations

All reservations need to be made in writing. The reservaation is considered confirmed, when it is received.

Conference and Celebration Package

Conference and celebration packages always refers to the package price that includes predetermined services. Packages cannot be broken into parts, which means that the package will be billed based on the list price and does not take into account last minute changes into participant numbers, or whether guests used services listed in the package or not. The buyer can however notify Messilä’s sales services one week in advance of any changes to the number of guests  if this affects the pricing of catering.

Venue Rent

Conferences

All conference reservations include a screen, whiteboard, projector and internet connection to every meeting room. The price includes group work rooms, which need to be reserved separately.

Weddings and Celebrations

Half of the venue rent is charged when making the reservation. This charge is non-refundable.

The venue rent includes:

• Table linen, tableware, silverware.
• Furnishing the space, and final cleaning.
• serving staff.
• two 1 hour planning meetings.
• A  screen, whiteboard, projector and internet connection available.

Special Arrangements

If Messilä Maailma Oy performs any special arrangements agreed upon with the client, such as furnishing the venue, decorations, temporary construction, or programme, the client commits to pay for any and all costs that these special arrangements cause. Any and all special arrangements and the possible costs will be agreed upon before hand with the client. 

Temporary Structures

The client does not have the right to make changes to the venues that they have reserved, such as erect or fasten temporary structures, guideposts, etc. without agreeing on it before hand with Messilä Maailma Oy.

Creating the Event

We request that the client hands in a detailed plan for the event one week before the event at the latest, which includes the following information:

• Number of guests
• Accommodation list
• Time table, times for meals, and any special dietary information
• any conference equipment
• A contact person for the event
• The selected menu

Number of Guests

The number of guests must be confirmed one week before the event at the very latest. After this date Messilä Maailma Oy has the right to bill for the estimated number of guests. If the realized number of guests goes over the estimated number of guests, Messilä Maailma has the right to bill the client for the realized number of guests.

Restaurant Services

All catering must come through Messilä Maailma Oy. The catering order must be made at the latest one week before the event, otherwise Messilä Maailma Oy cannot guarantee the availability of the menu items. 

The Client’s Responsibility

The client is required to protect the venue and furnishings therein from damage. The client is responsible for any and all damages that the client’s equipment, personnel, performers, audience or guests cause to the premises, or the movables on the premises. The client is responsible for the equipment and movables that they bring to the premises. The client commits to following  for any and all guidelines that the staff at Messilä Maailma Oy give regarding the building, furnishings, and equipment. The client must name a contact person, who is responsible for the event.

Payment Terms and Conditions

The event is billed according to the realized number of guests. If the realized number of guests is higher than the confirmed number of guests, the billing occurs according to the realized number of guests.  The billing fee is 8 €. All prices include tax. Messilä Maailma Oy reserves the right to price changes before reservation confirmation.

Cancellations

Conferences

If the client cancels the venue or conference package reservation, they will be billed for cancellation fees according to the confirmed prices for the duration of the reservation, according to the table below. If the reservation is made close to the reservation date the terms of the cancellation will be agreed upon individually. 

Weddings and other Celebrations

The reservation fee is non-refundable. Otherwise the costs of the cancellation follow the table below.
